So please make a request for certificate issuance well in advance.- Certificates can also be obtained at the automatic certificate issuing machine. How to Request a Certificate Requesting at the counter Complete and submit the Certificate Request Form to the section in charge. Certificate Request Form is also available at each counter. Requesting by Post Download, complete, and send the Certificate Request Form to the section in charge. A requester must be a current student or a former student of the Graduate School of Arts and Sciences. Make sure to write "Certificate Request Form enclosed" in red on the front side of the envelope. When you make a request by postal mail, the date of arrival of the Certificate Request Form at the section in charge will be the date of acceptance. Make sure to request certificates well in advance, considering the conditions of postal service. If someone other than the requester receives the certificate on behalf of the requester, a letter of proxy (no set format) from the requester and the ID of the recipient are required to receive the certificates. Receiving by post When you wish to receive the certificate by postal mail, you must bring/enclose a self-addressed stamped envelope along with the Certificate Request Form. Number of certificates Postage Envelope size (type) 1 ~ 4 84 yen 120mm×235 mm Nagagata 3-gou envelope (長形3号) 5 ~ 9 94 yen 120mm×235 mm Nagagata 3-gou envelope (長形3号) 7 ~ 16 140 yen 240mm×332mm Kakugata 2-gou envelope (角型2号) When you wish to have your certificate sent overseas by postal mail, please enclose a self-addressed envelope with Japanese stamps, or International Reply Coupon (IRC) equivalent to the necessary price for the university to send you your certificates. One IRC is equivalent to 130 yen in Japan. For more details of the postage, visit the Japan Post webpage. Processing Time for Issuing The time which takes to process a request after we receive a complete Certificate Request Form is as below. Current Students: Certificate written in Japanese/English ... 3 business days Former Students: Certificate written in Japanese ... 3 business days, Certificate written in English ... 5 business days The processing time does not include Saturdays, Sundays, and national holidays. Make sure to request the certificate well in advance. Note: The dates shown below are not counted as business days because the office is closed. Office summer holidays (usually 2 weekdays in August) Day of Graduate School Entrance Examination (usually 1 weekday in the end of August) New Year's holiday Types of Certificates Degree type description Master's degree Certificate of Enrollment Japanese/English certificates can be immediately issued by the automatic certificate issuing machine. Academic Transcript Only current students can obtain Japanese transcripts by the automatic certificate issuing machine. Certificate of Program Completion This is to certify the program completion. Certificate (Expected Program Completion) Only applicable to the second year students. Japanese/English certificate can be immediately issued by the automatic certificate issuing machine. Certificate (Program Withdrawal) Certificate of Academic Degree This is to certify the degree number. Ph.D. degree Certificate of Enrollment Japanese/English certificates can be immediately issued by the automatic certificate issuing machine. Academic Transcript Only current students can obtain Japanese transcripts by the automatic certificate issuing machine. Certificate (Program Withdrawal) Certificate (Program Withdrawal with Satisfaction of Credit and Enrollment Requirements) Certificate for students who obtained the degree after having withdrawn from the program with satisfaction of credits and program requirements is Certificate of Academic Degree. Certificate (Expected Program Withdrawal with Satisfaction of Credit and Enrollment Requirements) Students must have submitted a Request for Withdrawal to the section in charge. Certificate of Expected Academic Degree Students must have submitted their Doctoral Dissertation in order to request this certificate. The date of the degree's conferral must be finalized for students who do not expect to be awarded the degree in March (or in September for the GPEAK students). Certificate of Academic Degree This is to certify the Ph.D. degree completion. Research Students Certificate of Enrollment (Research Student/Foreign Research Student) Certificate This is to certify the withdrawal. Certificate (Research Theme) Issuing Electronic Certificates (Update: February 1, 2024） The electronic certificate issuance is being operated on a trial basis. The new system is not available to all departments/divisions as it is a provisional service and is subject to change in the future. The PDF document will be digitally signed and therefore contains special characteristics. A paper printout of this PDF document is not valid as an original certificate. Only those who are currently required to submit certificates in electronic format may apply for the issuance of electronic certificates. Please enquire at the counter for details.
